A system for exam preparation centres

A rush of enquiries in spring, intensive groups in summer, leavers after the exam — the system shows the season in lists and figures.

Sounds familiar

  • In the season there are so many enquiries that call-backs get forgotten
  • One student takes maths, English and history — and their bill gets tangled
  • A lesson is cancelled for a holiday or a sick teacher, but the month’s amount stays the same
  • Students leave after the exam, and who still owes money is found out at the end

What the system does about it

  • Seasonal admissions

Every enquiry is recorded with its course and the days and hours that suit. You see how many people are waiting for each course — and know when to open a new group.

  • Each subject, its own bill

A student takes each subject in its own group, and each gets its own monthly bill. Mark a lesson as not held and the group’s bill is worked out again.

  • Debts and teachers

The debt report shows who owes how much and why; the teacher report shows their groups, the money collected and their share.

  • A share of what came in

Each subject’s teacher has their own percentage — worked out only from money that actually arrived.

  • Reminders to parents Premium

If a debt is left, the parent gets a reminder in Telegram; when they pay — a message. In Premium.

Questions

What about short intensive courses?

You decide how many lessons the course price buys: the bill follows the lessons held, on a short course too.

What if a student drops out halfway?

The day they left is recorded, and the lessons up to it are billed. If an overpayment is returned, it is recorded with its reason.

The season brings many students — is the free plan enough?

The free plan has 10 active students. Go into the season with Premium — no limits.
